From spreadsheets to software: a 14-day migration checklist
A practical 14-day plan to move your workshop off Excel and onto proper software — without losing a single invoice.
If you're still running your workshop on Excel, Tally and a paper job-card pad, here's the honest truth: migrating isn't scary if you plan 14 days properly. Most workshops can be fully switched over in that time.
Days 1-2: Inventory what you have
- List your Excel files (customer master, job register, parts stock, pending estimates, outstanding dues)
- List every external tool (Tally, SMS gateway, any CRM)
- Export or capture screenshots of typical documents (job card, estimate, invoice, receipt)
Days 3-4: Set up the new system
- Create your GMS tenant
- Configure users, roles and permissions
- Set up tax rates (GST/VAT/ZATCA), rate cards and service packages
- Configure WhatsApp Business API (this has the longest lead time, start it here)
Days 5-7: Migrate data
- Customer master: names, phone, vehicle details, history
- Vehicle master: registration, make, model, year, last service kilometre
- Parts master: part number, description, price, vendor, current stock
- Outstanding invoices and dues
Any good GMS vendor will help with this migration, often for free.
Days 8-9: Parallel run
- Enter every new job card in both the spreadsheet and the new system
- At end of day, reconcile. If they don't match, find the delta.
- This catches 95% of process gaps before they become problems.
Days 10-11: Train the team
- Service advisors: job card creation, estimate approval, invoice
- Technicians: job allocation, parts issue, QC
- Accounts: invoice sync to Tally, receipts, daily cash-up
Training should be role-based, not a 4-hour everyone-on-everything session.
Day 12: Pilot with 5 customers
Pick 5 walk-ins. Run them end-to-end on the new system only. Capture every friction point.
Day 13: Fix frictions
Address each pain point from Day 12. Most are configuration issues.
Day 14: Go live
Switch the whole workshop. Spreadsheet becomes archive-only. Every new job on the system.
What to expect
- Days 1-5: skeptical team
- Days 6-10: team realises the time saved on billing and chase-up
- Days 11-14: team asks "why didn't we do this earlier?"
